Job description

We are seeking a detail-oriented and experienced Drayage Operations Specialist to join our growing freight brokerage team. The ideal candidate will have hands-on experience with U.S. drayage and intermodal operations, shipment coordination, carrier communication, accessorial charge management, freight billing, and invoice reconciliation.

This role requires a strong understanding of the full drayage shipment lifecycle, including container movement coordination, appointment scheduling, tracking, documentation, detention and demurrage management, and financial accuracy. The successful candidate will work closely with carriers, customers, internal operations teams, and accounting to ensure shipments move efficiently, documentation is accurate, and transportation costs are properly managed.

Key Responsibilities

Coordinate and manage end-to-end drayage and intermodal shipments across the United States, including container pickups, deliveries, and empty returns. Schedule and confirm appointments with ports, rail ramps, warehouses, distribution centers, and other facilities. Communicate with drayage carriers, dispatchers, customers, and internal teams to ensure timely pickup and delivery.

Monitor shipment status, proactively address delays, and resolve operational issues involving missed appointments, equipment availability, and container returns. Track and manage accessorial charges, including detention, demurrage, chassis, storage, pre-pull, dry run, and waiting time. Review carrier invoices and supporting documentation to verify rate accuracy and ensure charges comply with agreed-upon terms.

Investigate discrepancies, dispute unauthorized or incorrect charges, and coordinate resolutions with carriers and internal accounting teams. Process freight invoices and maintain accurate shipment documentation, including Bills of Lading (BOLs), Proofs of Delivery (PODs), delivery orders, interchange receipts, and accessorial receipts.

Coordinate vendor payment documentation and work with Accounts Payable to ensure timely and accurate payment processing. Assist with customer billing, invoice reconciliation, payment tracking, and outstanding balance investigations. Maintain accurate shipment records, cost details, and operational updates in the transportation management system (TMS).

Prepare operational reports, aging reports, and accessorial summaries to support cost control and performance monitoring. Identify opportunities to reduce unnecessary accessorial charges, improve carrier performance, and streamline drayage workflows.

Requirements

1-3+ years of experience in drayage, intermodal transportation, freight brokerage, or logistics operations. Strong understanding of U.S. port, rail ramp, container, chassis, and empty-return processes. Hands-on experience managing detention, demurrage, chassis, storage, pre-pull, and other accessorial charges. Experience reviewing carrier invoices, reconciling freight charges, and resolving billing disputes.

Knowledge of transportation documentation, including BOLs, PODs, delivery orders, and interchange receipts. Experience coordinating pickup and delivery appointments and monitoring shipment milestones. Strong communication, analytical, organizational, and problem-solving skills. High attention to detail and the ability to manage multiple shipments, deadlines, and priorities simultaneously.

Familiarity with transportation management systems, load boards, carrier portals, and freight billing platforms. Proficiency in Microsoft Excel, Google Workspace, and transportation-related software. Ability to work independently in a remote environment and collaborate effectively with cross-functional teams.
