$90,000 - $100,000 annually Reports To: Senior Leadership Employment Type: Full-Time (On-Site) Position Overview GLOBAL OPS is seeking an organized, proactive, and execution-focused Operations Manager – Projects, Grants & Client Relations to oversee and support the day-to-day operations of the company's Projects & Grants Division and Client Relations Division .
This position will serve as a key operational link between leadership, internal teams, clients, vendors, and prospective clients. The Operations Manager will be responsible for maintaining visibility into active projects and client matters, ensuring tasks and follow-ups are completed, supporting teams during high-volume periods, and helping move projects, grant applications, proposals, and client opportunities from initiation through completion.
This is a hands-on management position. The successful candidate will not only oversee workflows and deadlines but will also be expected to step into projects, grant applications, client requests, proposals, and other operational needs when additional support is required. Projects & Grants Division The Operations Manager will work closely with the Projects & Grants team to oversee active projects, grant applications, awarded projects, and implementation activities.
Key responsibilities include
Maintain visibility into the status, deadlines, deliverables, and next steps for active projects and grant applications. Conduct regular project status reviews and ensure outstanding action items are assigned and completed. Assist with the implementation and execution of project-related tasks. Support grant writing, application preparation, document collection, submission requirements, and deadline management.
Provide hands-on assistance during high-volume grant writing and submission periods. Support project implementation following grant awards, including documentation, procurement coordination, vendor communication, and project tracking. Help ensure projects remain on schedule and required documentation is properly maintained.
Coordinate between clients, internal team members, consultants, vendors, and other stakeholders. Identify potential delays, missing information, or other obstacles and work with the appropriate parties to resolve them. Assist leadership with reporting and visibility into the overall Projects & Grants pipeline. Client Relations Division The Operations Manager will oversee and support day-to-day client relations activities, helping ensure that existing and prospective clients receive timely, professional, and consistent communication.
Key responsibilities include
Oversee client communications, inquiries, follow-ups, and ongoing relationship management. Ensure client requests and concerns are properly routed, tracked, and resolved. Support the client onboarding process and coordination between clients and GLOBAL OPS operational teams. Manage and track prospective clients throughout the sales cycle, from initial inquiry through proposal, follow-up, and closing.
Prepare and coordinate proposals, scopes of work, pricing documents, invoices, and other client-facing materials. Conduct regular follow-ups with prospective and existing clients. Maintain organized records of client opportunities, communications, proposals, and outstanding action items. Coordinate with leadership on business development opportunities and client retention initiatives.
Support marketing initiatives, outreach campaigns, conferences, and other client-development activities. Assist with maintaining and improving CRM systems, client databases, sales pipelines, and internal tracking processes. Operational Management & Cross-Division Responsibilities Because the Projects & Grants and Client Relations divisions frequently overlap, the Operations Manager will help ensure information moves efficiently between teams and that commitments made to clients are properly executed.
Responsibilities
Establish and maintain clear workflows, trackers, deadlines, and accountability across both divisions. Conduct recurring internal status meetings and provide leadership with concise updates on priorities, deadlines, risks, and outstanding items. Ensure client commitments and internal deliverables are followed through to completion.
Help prioritize workloads during high-volume periods. Develop and improve standard operating procedures, templates, tracking systems, and internal processes. Identify operational gaps and recommend solutions to improve efficiency and accountability. Step into time-sensitive projects and assignments when additional resources are required.
Work collaboratively with other GLOBAL OPS divisions, including Security Operations, Finance, Human Resources, Training, and senior leadership.
Qualifications
& Skills The ideal candidate will have: Strong project management and organizational skills. Excellent written and verbal communication skills. Ability to manage multiple projects, clients, and deadlines simultaneously. Strong attention to detail and follow-through. Ability to prioritize effectively in a fast-paced environment.
Experience managing client relationships and professional communications. Experience preparing proposals, reports, presentations, invoices, or similar business documents. Strong problem-solving skills and the ability to take ownership of assignments. Ability to work independently while collaborating effectively across multiple teams.
Comfort working directly with senior leadership, clients, vendors, and external stakeholders. Experience with project management, grant management, client relations, account management, business development, or operations is preferred. Ideal Candidate The ideal candidate is someone who is equally comfortable managing and executing .
This individual should be able to review the status of an entire portfolio of projects in the morning, follow up with a client or prospective client, assist with a proposal or grant application, coordinate an implementation issue, and ensure the appropriate team members remain accountable for their next steps. This position requires someone who takes ownership, communicates effectively, stays ahead of deadlines, and is willing to jump in wherever necessary to help the team deliver for GLOBAL OPS clients.
