Enrollment Specialist
Job description
We are currently seeking an Enrollment Specialist to join our team in our Raleigh, NC corporate office. This is a full-time in office position. The purpose of the Enrollment Specialist is to complete, review, monitor, and ensure all family/child eligibility and enrollment record documents in Child. Plus are accurate, complete and uploaded within timelines as well as to ensure the accurate and timely entry of program data in compliance with E ligibility R ecruitment S election E nrollment and A ttendance (ERSEA) requirements.
Education and Experience
Accepted: High School Diploma or GED with a minimum of five years’ experience working with database management information systems. Bilingual (Spanish/English required). Preferred: Associate degree in Business Administration, Information Technology or related field, and two years’ experience working with ERSEA or two years’ experience working with database management/ information systems or a combination of ERSEA and database management/information systems.
ERSEA Certification. Bilingual (Spanish/English required). Skills, Knowledge and Ability: Ability to communicate, receive, and transfer written, oral, and electronic information effectively. Computer skills including the following Microsoft applications: Word, Excel and Outlook. Ability to analyze, organize, file and distribute large amounts of data.
Ability to work under stressful conditions with multiple deadlines. Experience working with Latino community. Knowledge of the Latino migrant farmworker culture and lifestyle. Working Conditions: This job operates in a professional environment. This role routinely uses office equipment such as computers, photocopiers and smartphones.
Ability to lift a minimum of 25 pounds. Bilingual (Spanish/English) required Essential Functions: Contact identified families and center staff, as needed, to complete to the extent necessary the family/child eligibility and enrollment records. Monitor each ERSEA eligibility determination record, including application and Family Income Worksheet (FIW) for accuracy and completeness.
Monitor Child. Plus data entry family/child for completeness, accuracy and timeliness to ensure continuity of services. Maintain a log of family/child files that have been completed and monitored to have an accurate record of ERSEA monitoring verification. Maintain a record of monitoring findings and corrections. Provide weekly status reports to the Director of Enrollment (cross-references with Record-Keeping and Reporting).
Communicate and coordinate with staff to ensure that applicable family/child records and forms are uploaded into Child. Plus and that required Child. Plus data is entered in a timely manner. Ensure that all information on children and families is kept confidential at all times in accordance with Grow Early Learning’s Confidentiality Policy.
Coordinate with center staff in developing communication to parents with operating schedule information. Review the Delegate Agencies and Direct Services waiting lists to ensure eligible children are being served to in order for services to be received and provide status report to supervisor. Keep all relevant records filed in an organized, easy-to-retrieve manner and in accordance with Grow Early Learning’s Record Retention guidelines.
Provide training in the compliance of Head Start Eligibility, Recruitment, Selection, Enrollment and Attendance (ERSEA) policy and procedures, as requested by supervisor. Provide training and technical assistance to staff on Child. Plus data entry and reports. Produce reports, support other reporting, record-keeping, and data management functions as needed.
Provide bi-annual input into the ERSEA Manual and Child. Plus User’s Guide. Communicate and cooperate with training and technical assistance (T/TA) providers, federal staff and other review teams members, program monitors, etc. Perform other duties as assigned.
