Job description
Recruitment & Onboarding Coordinate end-to-end recruitment activities for assigned positions. Prepare and publish job postings across approved recruitment platforms. Screen resumes against established job requirements. Coordinate interviews between candidates and hiring managers. Communicate professionally with candidates throughout the recruitment process.
Maintain candidate records and recruitment trackers. Coordinate reference and background verification where required. Prepare offer letters and other employment-related documents using approved templates. Coordinate joining formalities and new employee onboarding. Ensure new employees receive required policies, system access, equipment information, and orientation materials.
Maintain accurate records of vacancies, candidates, offers, and new hires. HR Administration Maintain confidential employee personnel files and HR records. Prepare employment letters, confirmation letters, experience letters, and other routine HR documentation. Track attendance, leave, probation periods, employee documentation, and other HR milestones.
Assist with benefits enrollment and employee benefit administration where applicable. Maintain employee information in HR systems and internal trackers. Coordinate payroll-related employee changes with the appropriate payroll or finance team. Assist with employee engagement and internal communication initiatives. Support performance-review administration and documentation.
Assist with implementation and communication of HR policies and procedures. Handle employee information with a high degree of confidentiality and discretion. Administration & Operations Support day-to-day office and administrative requirements. Manage calendars, meetings, correspondence, and documentation as required.
Prepare reports, trackers, presentations, and spreadsheets. Maintain organized electronic files and records. Coordinate with internal departments and external vendors. Monitor assigned administrative tasks and ensure timely follow-up. Assist management with operational and special projects. Identify opportunities to improve administrative and HR processes.
Support the team with other duties based on business requirements. IT Support & Coordination Coordinate the setup, modification, and removal of employee user accounts, email accounts, software access, and system permissions. Arrange laptops, computers, accessories, and other technology requirements for new and existing employees.
Provide first-level support for common hardware, software, email, printer, internet, and connectivity issues. Administer routine Microsoft 365 applications and user access, including Outlook, Teams, OneDrive, and SharePoint, within approved authorization levels. Maintain an accurate inventory of IT equipment, software licences, assigned devices, warranties, and access records.
Coordinate escalated technical issues, repairs, software installations, and system changes with external IT vendors or service providers. Support data-security practices, password and access controls, backups, device updates, and employee compliance with IT policies. Prepare and maintain IT procedures, setup checklists, troubleshooting guides, and related documentation.
Requirements
Bachelor’s degree or diploma in Human Resources, Business Administration, Commerce, Management, Information Technology, or a related discipline. 1 to 3 years of HR, recruitment, administration, IT support, or a related coordination role is preferred. Understanding of basic HR, recruitment, user-access administration, and IT support processes.
Excellent written and verbal English communication skills. Strong interpersonal skills and professional telephone/email etiquette. Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint, and general computer systems. Experience with recruitment platform, Microsoft 365 administration, help-desk tools, or IT asset tracking is an asset.
Strong organizational and documentation skills. Excellent attention to detail. Ability to manage multiple priorities and deadlines. Strong follow-up skills and sense of accountability. Ability to exercise discretion when handling confidential employee information. Ability to work independently while collaborating effectively with managers and team members.
