About this job: Q-Sourcing Limited trading as Q-Sourcing Servtec is a Manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Tanzania, Rwanda, and South Sudan. Job Purpose The Clerk of Works – Swap Station Rollout is responsible for tracking and documenting daily progress of swap station construction activities covering civil works, electrical works, 3-phase meter installations, and transformer installations across multiple sites. This role is primarily about accurate data collection, reporting, and coordination, ensuring the Project Lead and management always have an up-to-date, reliable view of rollout progress across the network.

The role works closely with the technical team, who handle quality verification and resolution of technical issues. Strong Excel and data management skills are essential.

Key Responsibilities

Daily Site Monitoring & Reporting •Visit assigned swap station sites regularly to observe and record progress on civil works (foundations, trenching, site preparation) and electrical works (cabling, meter installation, transformer installation). •Collect daily vendor/contractor reports from each site, capturing work completed, materials used, labour present, and any issues raised by the vendor.

•Compile and consolidate this information into a daily/weekly progress tracker, clearly showing status per station (e.g., not started, civil works in progress, electrical works in progress, meter installed, transformer installed, completed). •Take photos as evidence of progress/completion at each site for record-keeping and reporting purposes.

Data Management & Reporting •Maintain a well-organized Excel-based (or similar) tracking system covering all stations in the rollout, updated consistently and accurately. •Build clear, easy-to-read progress reports/dashboards for the Project Lead, highlighting stations on track, delayed, or requiring attention. •Update station status in the tracker only after technical sign-off for critical milestones (e.

g., transformer commissioning, meter installation, earthing test pass), ensuring the tracker reflects verified, not just reported, progress. •Flag discrepancies between vendor-reported progress and what's observed on site, escalating to the Project Lead and technical team for follow-up. •Track key milestones per station and maintain a master rollout schedule.

Vendor & Site Coordination •Serve as the point of contact for collecting daily updates from vendors/contractors working across multiple stations. •Follow up with vendors on missing reports, unclear updates, or delays, ensuring consistent and timely reporting from all sites. •Coorinate site access and basic logistics needs to support vendor teams and any inspection visits.

•Escalate any safety concerns, site access issues, or vendor non-responsiveness promptly to the Project Lead. Technical Coordination •Work closely with the Energy Technical team, escalating any observed issues, discrepancies, or vendor concerns for their assessment and resolution. •Support scheduling and site access for technical team inspections and critical test signoffs (earthing, insulation, load testing).

Documentation & Recordkeeping •Maintain organized records/files (digital and physical, as needed) for each station: vendor reports, photos, progress notes, and any correspondence. •Support preparation of summary reports for internal reviews, stakeholder updates, or funder/partner reporting as needed. •Maintain version-controlled, accurate historical records that can be referenced for audits, disputes, or performance reviews of vendors.

Qualifications

& Experience •Diploma or Degree in Business Administration, Project Coordination, Information Management, or a related field (engineering background not required). •2–4+ years of experience in a project coordination, site monitoring, data/reporting, or similar administrative-operational role ideally involving multi-site tracking.

•Proven strong proficiency in Microsoft Excel (pivot tables, tracking dashboards, formulas) this will be tested/assessed. •Experience working with vendors/contractors and consolidating field reports is a strong plus. Key Skills & Competencies •Excellent Excel and data management skills able to build and maintain clear, accurate, easy-to-navigate tracking systems.

•Strong attention to detail able to spot inconsistencies in vendor reports and progress data. •Good organizational skills managing information from many sites simultaneously without losing track. •Clear written communication able to produce concise, factual progress reports for the Project Lead and management. •Reliable and disciplined in following up daily with vendors, even when reports are late or incomplete.

•Comfortable with regular site travel and basic field conditions. •Professional and firm in following up with vendors.
