Executive Administrative Assistant
Job description
MDW Associatesis seekingExecutive Administrative Assistants to provide high-quality executive and office-management support to a complex Department of War organization. The successful candidate will organize leadership priorities, manage communications and taskers, and keep meetings, actions, and office operations moving efficiently.
This role supports a federal organization responsible for personnel security, mission assurance, and protection of sensitive work environments.
- This position is remote eligible; periodic on-site support in Quantico, Virginia may be required based on mission needs. *
The Executive Administrative Assistant may perform a combination of some or all of the following duties:

Manage executive calendars, schedule appointments and meetings, resolve conflicts, and prepare daily agendas, meeting summaries, and action items.

Draft, edit, route, and maintain correspondence, memoranda, reports, briefings, and recurring templates.

Coordinate virtual and in-person meetings, leadership forums, workshops, training sessions, and other events; capture minutes and track follow-up actions.

Maintain shared mailboxes, electronic and physical records, organization charts, rosters, and task-management data.

Collect and consolidate data for leadership taskers; prepare status reports and presentation-ready charts or visuals.

Support onboarding, in- and out-processing, visitor coordination, and administrative requests through designated systems.
Required Experience/Skills:
-
Demonstrated command of Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.

Excellent organization, written communication, customer service, and follow-through skills; able to manage competing deadlines with discretion.

This position requires U.S. citizenship in accordance with applicable government contract requirements
Preferred Experience/Skills:
-
Experience supporting senior leaders in a federal or Department of Defense environment.
-
Experience with task-management, records-management, and collaboration platforms such as Microsoft Teams, SharePoint, ServiceNow, or CATMS.
Education Requirement(s):
- High school diploma or equivalent and 3+ years of progressively responsible executive, administrative, or office-management support experience.
Security Requirement(s):
- Candidates for this position must have an Active US Security Clearance (Secret).
