Job description

Role Overview As an Associate, Procurement and Inventory (Special Projects) for our Jalna office, you will be responsible for managing end-to-end procurement and inventory processes—ranging from vendor identification and selection to inventory tracking, dispatch planning, supplier relationship management, and process optimization—using cloud-based and digital platforms to support seamless business operations.

You will work in a dynamic environment with multiple teams to ensure project goals are achieved.

Key Responsibilities

Understand procurement requirements, including both technical and commercial aspects of requested products and services. Identify, screen, and engage suppliers through diverse methods such as database references, field visits, networking, and digital sourcing platforms. Draft and process sourcing documents (RfS/RfQ/RfP/RfI), define bid evaluation criteria, compare bids/quotes, and prepare recommendations for management.

Negotiate pricing and terms with suppliers; formalize agreements via purchase orders (PO). Manage purchase requisition and approval workflows, ensuring compliance with internal controls and audit standards. Oversee goods receipt, including generating Goods Receipt Notes (GRN), conducting quality and quantity checks, and performing three-way matching among PO, invoice, and delivery receipt.

Coordinate with accounts for timely invoice processing, e-way bill creation, and payment approvals. Maintain and update inventory records on a cloud-based platform, ensuring accuracy and real-time tracking. Plan, schedule, and document dispatches to meet daily/weekly targets and align with client and field team needs.

Optimize logistics for safety, efficiency, and cost-effectiveness. Conduct regular supplier reviews, monitor price trends, and stay informed about emerging technologies and products. Build collaborative relationships with vendors and suppliers to foster long-term partnerships and improve performance. Implement and document standard operating procedures for procurement, inventory, and dispatch to ensure operational excellence and readiness for audits.

Coordinate with clients, field teams, and logistics to ensure smooth product delivery, receipt, and storage; provide timely follow-up and problem-solving. Lead and support process improvements to facilitate seamless dispatches, accurate documentation, and ongoing compliance. Maintain all records necessary for audits and compliance, ensuring data integrity and accuracy.

Complete the probation period (2 months) by demonstrating proficiency across all responsibilities.

Requirements

Qualifications & Skills Graduate or Diploma in Engineering / Science / Commerce / Management (preferred). The ideal candidate should be proactive, self-driven, and passionate about renewable energy. 1–3 years of experience in Inventory management (Solar / Renewable sector preferred, freshers with strong drive may also apply).

Should be willing to work in an ambiguous environment and develop processes. Strong communication and interpersonal skills in Marathi, Hindi, and English. Good presentation and negotiation skills. Strong analytical skills to evaluate data, support procurement decisions, and optimize inventory levels. Basic computer knowledge (Inventory software, MS Office, Email, project management tools).

Willingness to travel within the region. Possesses own vehicle, smartphone, and Laptop (optional).
