Full-Time Administrative Assistant About Horizon School Division Horizon School Division operates 42 schools across East Central Saskatchewan, encompassing 30,970 square kilometers, and spanning a geographic area from Bulyea in the south, Wakaw in the north, Foam Lake in the east, and Viscount in the west. Our Administration Office is in Humboldt.
The Opportunity The Administrative Assistant provides a wide range of administrative and operational support to the Executive Assistant and, through this role, contributes to the work of the Director of Education, Board of Education, and Division Office. This position plays an important role in day-to-day operations, including meeting and event coordination, travel arrangements, purchasing and supplies, financial processes, correspondence, and general administrative support.
The successful candidate will be highly organized, adaptable, and comfortable managing multiple priorities while providing responsive and professional service. Required Education, Qualifications & Skills and Abilities Minimum of three (3) years of office or administrative assistant experience. Post-secondary education in office administration or a related area is considered an asset.
Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines. Superior interpersonal and communication skills, both oral and written. Exceptional attention to detail and commitment to accuracy. Strong computer skills and proficiency with Microsoft Office applications. Ability to work effectively both independently and as a member of a team.
Ability to exercise discretion and maintain confidentiality when working with sensitive information. Ability to establish positive working relationships and provide professional service to a broad range of internal and external contacts. Flexibility and willingness to assist with a variety of administrative and operational responsibilities as required.
Duties and Responsibilities
Provide administrative support to the Executive Assistant and Division Office operations. Assist with the preparation and coordination of meeting agendas, supporting materials, correspondence, and other documentation. Provide administrative and logistical support for meetings, professional development sessions, and other Division Office activities, including room set-up, arrangements for catering and coffee service, and clean-up.
Review, modify and prepare letters, reports, presentations, templates, spreadsheets and other correspondence and administrative materials. Coordinate travel arrangements, hotel accommodations, and reservations for trustees and other Division representatives as required. Coordinate Division Office purchasing and maintain appropriate office, meeting, and kitchen supplies, including ordering, receiving, and stocking supplies.
Coordinate incoming and outgoing mail and courier services, including postage, distribution, and delivery or collection of mail as required. Support the planning and coordination of Division events and activities, including Celebration Day, student events, staff professional development, recognition activities and Division Office events.
Coordinate staff appreciation and recognition initiatives, including the ordering, preparation, and distribution of gifts and other materials. Support budget management processes including purchasing documentation, expense tracking, and other administrative requirements. Review and code BMO/PCard transactions and supporting documentation in accordance with Division procedures.
Maintain organized and welcoming meeting, kitchen, and common areas within the Division Office and ensure required supplies are available. Contribute to the development and implementation of administrative processes and practices that improve efficiency and support effective Division Office operations. Provide administrative support for special projects and initiatives as required.
Perform other duties as assigned by the Executive Assistant. The Person You are energetic, organized, and dependable, with a strong work ethic and a commitment to providing excellent service. You care about quality and accuracy, pay close attention to detail, and understand how the different elements of your work contribute to the effective operation of the Division Office and its support of schools across the Division.

You work effectively both independently and as part of a team and can be relied upon to follow through on responsibilities with minimal supervision. You bring a positive, professional approach to your work and contribute to a welcoming and collaborative workplace.
This is a full-time position working 7.5 hours per day, 37.5 hours per week. Horizon School Division provides a competitive compensation package, including salary, medical, dental, vacation, and pension benefits commensurate with education and recognition of experience. The annual salary will range from $50,000 to $60,000.
