Job Description Job Title: Regulatory Disclosures Analyst Department: Compliance FLSA Status: Exempt Job Status: FT Reports To: Sr. Manager, Regulatory Disclosures Positions Supervised: N/A Work Schedule: Monday – Friday, 8:00 am – 5:00 pm POSITION SUMMARY The Regulatory Disclosures Analyst is responsible for managing all processes associated with the timely distribution of participant disclosures for defined contribution Single and Multiple Employer Plans as well as Pooled Employer Plans.
The Regulatory Disclosures Analyst acts as a subject matter expert and is responsible to ensure service, quality, and regulatory standards have been met. In addition to, identifying and presenting recommendations for enhancements to the overall processes. The Regulatory Disclosures Analyst works independently to analyze, review, and validate system data that directly impacts the accuracy and compliance of participant disclosures.
They must investigate system errors and correct discrepancies and/or inaccuracies in data, disclosures, and/or other participant notifications. Collaborate with internal departments to prepare, prioritize, and resolve issues to ensure disclosures are distributed timely and accurately.
ESSENTIAL FUNCTIONS
- Understand and can clearly and accurately respond to questions regarding each of the individual notices and disclosures prepared by the Document Fulfillment team, as well as, communicate and respond to related inquiries.
- Ability to attends internal meetings to act as subject matter expert (SME) to address questions regarding overall notice and disclosure process from start to completion.
- Thorough understanding the rules and regulations surrounding the requirement for each communication
- Manage the production and distribution of IRS/DOL required disclosures, i.e., benefit statements, summary plan descriptions (SPDs), fee disclosures and investment performance, etc.) within specified deadlines.
- Participates in medium to large sized projects centered around department initiatives intended to increase efficiencies, maintain adherence to compliance requirements, or decrease cost.
- Document and implement all changes in processes and procedures.
- Contribute to the development and enhancement of disclosure related materials, including internal training procedures and presentations.
- Anticipate potential roadblocks and proactively identify solutions to maintain compliance requirements pursuant to IRS/DOL regulations
- Troubleshoot issues and assist with identifying solutions to ensure our process remains in compliance with IRS/DOL regulations
- Consistently review processes and present recommendations for improvements by leveraging technology solutions, and/or communicating corrective actions to management.
- Utilize required software to create participant notifications (including off-cycle when needed) and manages delivery to participants via mail or email.
- Audit production to identify impact of system errors on production and delivery when plan participants are affected by system errors.
- Ongoing maintenance of required participant disclosures – including, but not limited to, setting up new clients in systems, performing quality assurance and quality control (QA/QC) reviews, and identifying recommendations for improvements as well as, identify and correct missing or inaccurate information in systems.
- Demonstrate a solid understanding of disclosure requirements by proactively performing data validation, data review and authentication to ensure compliance with ongoing regulations and plan document specifications.
- Conducts quality assurance and quality control checks of disclosures pursuant to plan and regulatory updates to make sure information is correct and follows regulations, such as verifying document revisions and client-specific customizations to notices are implemented correctly.
- Consistently adheres to service standards communicated to our internal business partners and clients.
- Supports plan document compliance activities, including restatements, amendments, and plan terminations. SKILLS & ABILITIES
- Meticulous attention to detail with the ability to notice discrepancies/nuances in large data sets
- Strong analytical skills and proactive problem-solving skills
- Effective organizational skills and ability to handle multiple assignments at a given time
- Prioritizes competing tasks appropriately according to associated projects and deadlines
- Ability to work both independently with minimal supervision and as part of a team
- Self-motivated, eager to learn, and takes initiative
- Demonstrated knowledge of Microsoft Office Suite, with intermediate to advanced Microsoft Excel skills
- Strong verbal and written communication skills for both internal and external stakeholders Experience
- 2+ years of relevant experience with IRS/DOL regulations
- Intermediate-Advanced Microsoft Excel Skills (i.e., sort/filter data, VLOOKUP function)
- 1+ year of 401(k) industry experience highly preferred Education
- Bachelor’s degree or equivalent combination of education and experience Certificates & Licenses
- Qualified 401(k) Administrator (QKA) certification a plus Work Environment
- Extended sitting and computer work.

What’s in it for you Package This role will have a base pay range of $58,000 - $70,000/annually .
