Job description

Communications Coordinator- Full-time JOB SUMMARY The Communications Coordinator is a back-office production and administrative role responsible for the accurate, timely preparation of the Club’s recurring communications. The position manages a structured weekly and monthly workflow that includes the Club bulletin, calendars, flyers, promotional materials, and digital updates.

Working primarily within established templates, the Coordinator formats content, edits and proofreads submissions, prepares materials for publication, and ensures consistency with Jupiter Island Club’s brand and conservative Old Florida aesthetic. Success requires someone who enjoys detailed, recurring work, takes pride in accuracy, and remains composed when multiple deadlines converge.

ESSENTIAL DUTIES AND RESPONSIBILITIES

including the following and other duties as may be assigned related to this position. Coordinate the recurring production schedule for the weekly bulletin, Club calendars, flyers, and other printed or digital communications. Edit, proofread, format, and quality-check content for spelling, grammar, punctuation, consistency, accuracy, and adherence to Club standards.

Update established Adobe In. Design templates for the bulletin, calendars, and related publications, including text, images, and page layouts. Create occasional original written content for the bulletin and adapt information submitted by departments into clear, polished communications. Produce intermittent flyers, signage, and promotional materials, including materials supporting Food & Beverage programming.

Gather and organize information from departments, track submissions, follow up on missing content, and maintain firm weekly and monthly deadlines. Publish the bulletin and calendars digitally by updating the appropriate areas of the Club website. Use Northstar to support distribution and publication workflows. Maintain organized files, templates, production records, content calendars, and shared resources.

Identify practical opportunities to streamline recurring work, improve templates, and automate administrative processes while preserving accuracy and quality. Provide general back-office administrative and communications support as assigned. KEY SKILLS AND ATTRIBUTES Exceptional attention to detail with strong spelling, grammar, proofreading, and editing skills.

Highly organized and able to manage recurring tasks, multiple contributors, changing priorities, and firm deadlines. Comfortable performing detailed and repetitive work while maintaining consistent accuracy. Professional judgment and discretion when handling sensitive Club, Member, or executive information. Clear written and verbal communication, including the confidence to follow up for missing or unclear information.

Calm, dependable, and accountable in a deadline-driven production environment. Process-minded and willing to recommend practical efficiencies or automation opportunities. Collaborative and receptive to feedback, with the ability to learn and apply Jupiter Island Club’s voice and visual standards. This is primarily a back-office position and is not designed as a Member-facing customer service, event photography, social media, or on-course role.

Much of the work follows the same weekly and monthly production cycle. The successful candidate will value structure, consistency, and precise execution. The position works mainly from established templates rather than creating every piece from a blank page. As proficiency grows, opportunities may develop for additional design responsibility.

Deadlines can be time-sensitive, particularly when several departments submit updates simultaneously or content changes close to publication. REQUIRED QUALIFICATIONS Working experience with Adobe In. Design (or similar software), including editing text, images, and page layouts within established templates. Proficiency in Microsoft Word and Excel.

Demonstrated administrative, project coordination, publication production, communications, or comparable experience. Ability to edit and proofread professional materials with a high level of accuracy. Ability to manage competing deadlines and complete recurring production work independently.

PREFERRED QUALIFICATIONS

Experience producing newsletters, bulletins, calendars, flyers, promotional materials, or similar publications. Experience in communications, publishing, marketing coordination, association administration, hospitality administration, or a comparable production-focused environment. Familiarity with Canva as a resource tool.

Experience updating website content or working within a content management system. Familiarity with Northstar, including member or campaign portals. Experience working within an established brand standard or a conservative, traditional design aesthetic.

EDUCATION and EXPERIENCE

Associate degree in communications, marketing, graphic design, business administration, English, or a related field and two years of relevant experience preferred. An equivalent combination of education, administrative experience, publication production, communications coordination, or demonstrated proficiency may be considered.

A promising early-career candidate with strong foundational skills, excellent proofreading ability, and working In. Design experience may also be considered.
