Job description
Intern – Office Assistant We are looking for a college student who would work part-time, as an Intern to help with the organization and performance of administrative tasks, as well as make monthly computer accounting entries for clients using QuickBooks. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure.
This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Job Overview and Scope Assist in preparing taxes for clients Organize office and assist field staff in way that optimize procedures Take messages including appointment cancellations and reschedules Monitor level of supplies and handle shortages Make computer entries of financial information Maintain trusting relationships with clients Maintain and update databases such as mailing lists, contact lists, etc.
Retrieve, sort and distribute incoming mail Prepare outgoing mail Perform receptionist duties Perform Check Accounting W-2/ 1099 Processing Optional Tasks Filing of any kind – or purging files of old tax returns Billing – Create a bill for everyone, input acres from E-book, gather information from support staff for other services and input Binder Creation – print and stuff Depreciation / Asset Data Entry – Fair Market Value Update Totaling Long Books, A or B but not both Creating and entering data into the T-Book Rolling from the T-Book to the E-book If you aren’t using T-Books / E-Books, they could create new ones Printing – complete E-books, depreciation schedules, complete analysis, etc.
Rolling current year E-books to next year Mail related, postage, creating labels for each client, make up tax payment envelopes or estimated tax envelopes for known clients Tax Documents – opening and organizing, inputting basic documents like interest, dividends, W2s, Schedule F, 4562, etc…, scanning documents to the server Call clients 2 days prior to their appointment to confirm Update all client information – if you don’t have an email on file, call and get one, put together a list of emails for mass mailings Special Projects (PPP Loan and ERC Calculations) Duties: Working knowledge of office equipment Thorough understanding of office management procedures Excellent organization and time management skills Proficiency in MS Office Computer aptitude Experience: Background in agriculture Education: Working towards their bachelor degree in Agribusiness or accounting
