Job description

Resident House Head & Learner Coordinator -Kleinbosch Babylonstoren is looking for a warm, dependable and highly organised Resident House Head & Learner Coordinator to join Kleinbosch, the historic home of the first official Afrikaans school. Kleinbosch welcomes groups of young people for immersive learning experiences.

In this role, you will help make every stay safe, structured and memorable, while coordinating group administration from preparation through to departure. This is a live-in position. The successful candidate will reside at Kleinbosch.

Requirements

Experience working with teenagers in a school, boarding house, youth programme, camp, hospitality or similar environment. Strong administrative and organisational skills, with excellent attention to detail and follow-through. Confidence using digital administration tools, documents and basic spreadsheets. The ability to manage emergencies, conflict and challenging behaviour calmly and fairly.

Valid first-aid training. Excellent communication skills in Afrikaans and English. A warm, approachable personality and the confidence to maintain clear boundaries. The ability to communicate professionally with learners, parents, teachers, chaperones and colleagues. Flexibility to work evenings and, when necessary, during the night while groups are staying at Kleinbosch.

Key responsibilities

Take primary responsibility for learners outside formal programme hours. Create a safe, welcoming residential environment and manage learner routines, room allocations, supervision and discipline. Coordinate group documentation, including learner lists, indemnity forms, emergency contacts, allergies, dietary requirements and relevant medical information.

Follow up with schools, parents and teachers to ensure documentation is complete before arrival. Manage attendance registers, certificates and the administrative preparation and close-out of each group. Coordinate group arrivals, welcomes, orientation and departures. Communicate essential learner information promptly to the programme, hospitality and kitchen teams.

Respond to illness, injuries, conflict and emergencies, following first-aid and escalation protocols. Work closely with the Kleinbosch programme and hospitality teams to support programmes, courses and activities.
