Business Development & Proposal Specialist
Job description
Basic Function : Responsible for developing high-quality, technically accurate, and competitive proposals for assigned practice areas. This role collaborates closely with architects, engineers, project managers, firm leadership, and the business development team to produce compelling responses to Requests for Proposals (RFPs) and Qualifications (RFQs).
The ideal candidate can translate complex technical concepts into clear, persuasive narratives. Essential Duties/Responsibilities (included but not limited to): Implement business development and marketing strategies for designated areas of responsibility Complete daily web searches for public notices / request for proposals Research clients and project leads and track utilizing CRM system Coordinate project development meetings with business development / practice area leaders Support go/no-go decisions and pursuit strategy development Lead preparation of proposals, qualifications packages, and statements of interest Analyze RFP/RFQ requirements and develop compliant outlines and schedules Coordinate with principals, practice area leaders, and project managers to gather content Write, edit, and format proposal materials Ensure all submissions meet client requirements, deadlines, and formatting standards Facilitate proposal strategy meetings and manage schedules Track assignments and ensure timely input from technical staff Perform final editing, formatting, and quality assurance reviews Ensure consistency with branding standards and submission requirements Maintain and enhance proposal templates and processes Maintain project descriptions, resumes, and proposal boilerplate content Assist with interview preparation and presentation materials Contribute to marketing content (campaigns, press releases, thought leadership) Manage CRM data (Deltek Vantagepoint, Cosential, or similar) Support marketing staff in coordination of conferences, events, and promotional materials; attend as needed Support additional marketing and business development initiatives as assigned Qualifications/Skills: Strong technical writing and editing skills Ability to clearly communicate architecture and engineering concepts Strategic mindset for competitive pursuits Excellent organization and time management Strong collaboration skills across technical and creative teams High attention to detail Proficiency in Adobe Acrobat and In.
Design Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) CRM systems knowledge (Deltek Vantagepoint, Cosential, or similar) Education/Experience: Bachelor’s degree in Communications, Marketing, Business Development or related field preferred, but not required 3+ years of experience, preferably in the field of architecture or engineering Familiarity with public and private sector RFP processes Physical Demands: Prolonged periods of sitting while performing computer-based work, with occasional standing, walking, bending, reaching, and lifting up to 20 pounds.
Frequent use of standard office equipment, including computers, telephones, printers, copiers, and scanners, require manual dexterity. Ability to communicate effectively, read and prepare written and electronic documents, and maintain regular attendance during established business hours.
