Conference Services Manager
Job description
Description SUMMARY Serves as primary liaison between clients and venue operations teams, overseeing the planning, coordination, and execution of meetings, conferences, and special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
are listed below in order of importance, from most important to least important. Serves as the primary contact throughout the event lifecycle, coordinating all event logistics, including room set ups, audiovisual requirements, catering, transportation, signage, and special accommodations for seamless event execution. Develops and manage Banquet Event Orders (BEOs), event timelines, and room diagrams to ensure successful event execution.
Collaborate with internal departments, including Sales, Facilities, IT, Security, Operations, as well as external vendors to coordinate event requirements, allocate resources, and ensure successful event execution and operational efficiency. Conducts post-event evaluations, gather client feedback, and recommend process improvements to enhance future event experiences.
Completes and maintains accurate event documentation, including BEOs, invoices, work orders, vendor agreements, event recaps, and reports. Ensures event spaces, furnishings, and equipment are clean, organized, well-maintained and event-ready through routing inspections, while restoring spaces to their original layout and condition when not in use.
Oversees inventory management of event equipment and supplies, including regular inventories and organized storage practices.
Requirements
EDUCATION
and/or EXPERIENCE Associate degree (A.S.) in Food Service or Hospitality or related field and at least two years’ experience in managing company food and beverage catering; or the equivalent combination of education and experience. CERTIFICATES, LICENSES, REGISTRATIONS Valid Driver's License (Class C), car insurance and reliable automobile required.
PHYSICAL DEMANDS While performing the duties of this job, the team member is regularly (more than 2/3 of the day) required to stand/walk throughout the space. The team member frequently (1/3 to 2/3 of the day) is required to use hands to finger, handle, feel, talk, and hear. The team member is occasionally (less than 1/3 of the day) required to lift and/or move up to 50 pounds and push/pull 100 pounds.
Specific vision abilities required by this job include close vision. Occasional local travel is required.
