Executive Assistant, Business Office & Human Resources The Taft School Department: Business Office and Human Resources Reports to: Chief Financial Officer Status: Full-time, non-exempt, benefit eligible Schedule: Monday

  • Friday, 8:00 a.m. - 4:30 p.m. (40 hours per week, including a 30-minute unpaid meal break) Compensation and Benefits Hourly wage range: $28.00 - $36.00 per hour Benefits: Eligible employees may receive a comprehensive benefits package that may include: Medical, dental, and vision insurance Retirement plan contributions Life and disability insurance Paid vacation and holidays Professional development support Tuition assistance and educational benefits where applicable Access to campus programs and resources Position Summary The Executive Assistant is a key operational partner to the Chief Financial Officer and supports the Business Office and Human Resources, working closely with the Controller and the Director of Human Resources. The role manages administrative workflow and approvals, tracks employment contracts and HR compliance requirements, and maintains confidential employee records. Success in this position means deadlines are met and records are accurate and secure.

Responsibilities

Executive and Business Office Support Provide administrative support to the CFO and Business Office leadership Coordinate departmental meetings, communications, and document management Assist with special projects and operational initiatives Generate reports and status updates to support decision-making Contracts and Approvals Prepare, distribute, track, and collect employment agreements, contracts, and other official documents Monitor approval workflows and confirm all required approvals are secured Follow up with faculty, staff, administrators, and external partners to obtain completed and signed documents Track key dates for employment agreements and renewals Maintain contract records in line with School policy and retention requirements Human Resources Administration and Process Management Track HR compliance requirements and confirm required forms are completed and received Communicate with employees about required forms, training, and policy acknowledgments Maintain confidential employee records Monitor outstanding action items and follow up until they are complete Build and maintain systems to track approvals, documentation, contracts, and workflows, and recommend process improvements Assist with other HR activities as assigned Required Qualifications Minimum of three years of administrative, human resources, business office, or operations experience Strong organizational and project management skills, with the ability to manage multiple priorities Attention to detail and accuracy Discretion and strict confidentiality Excellent communication and interpersonal skills Proficiency with Microsoft Office and HR, payroll, or business management systems Ability to work independently and collaboratively Preferred Qualifications Bachelor's degree Experience in an educational or independent school environment Key Attributes Strong follow-through and accountability Ability to build relationships while holding people to deadlines Sound professional judgment Service-oriented, collaborative, and proactive Equal Opportunity The Taft School is an affirmative action/equal opportunity employer in accordance with regulations adopted by the Connecticut Commission on Human Rights and Opportunities.
