This role works closely with Service Managers, Account Managers, Service Technicians, vendors, and customers to develop technically sound proposals that support customer satisfaction and company profitability. The ideal candidate is organized, mechanically inclined, customer-focused, and able to manage multiple priorities in a fast-paced environment.

Responsibilities

Review technician recommendations and inspection reports to develop repair and replacement estimates. Prepare detailed proposals for service repairs, maintenance, equipment replacements, and small mechanical projects. Obtain vendor and supplier pricing, lead times, and equipment availability. Ensure estimates meet company pricing standards and profitability objectives.

Work with Service Managers and field personnel to clarify scope and recommend solutions. Maintain accurate estimating and proposal records in company software. Follow up on outstanding proposals and assist with securing customer approvals. Improve estimating efficiency, accuracy, and consistency.

Qualifications

Required High school diploma or GED. 3–5 years of experience in commercial HVAC, mechanical service, estimating, service coordination, or a related industry. Working knowledge of commercial HVAC equipment and repair processes. Ability to read equipment specifications, blueprints, and technical documentation. Strong math, analytical, communication, organizational, and computer skills, including Microsoft Office.

Valid driver’s license with an acceptable driving record. Preferred Associate degree or technical training in HVAC, mechanical systems, construction management, or a related field. Experience estimating commercial HVAC repairs, retrofits, and small projects. Knowledge of HVAC controls, refrigeration, piping, sheet metal, and building automation systems (BAS).

Familiarity with service agreements and preventive maintenance programs. Experience with estimating, service management, ERP, CRM, or dispatch software. OSHA 10 or OSHA 30 certification. Performance Expectations Produce accurate estimates that support company profitability. Meet proposal turnaround deadlines. Support strong quote conversion and revenue growth.

Provide excellent customer service. Work effectively with sales, service, and field teams.
