Office Professional: Architect of Specialized Operations Location: Probe Gifted Program (Located within the Wedgwood 6th Grade Center) Status: 12-Month Operation | Support Staff | Non-Exempt (FLSA) Work Schedule: 8 Hours Per Day | Standard Business Hours The Opportunity: The Operational Anchor of Innovation In Ferguson-Florissant, our "New Chapter" is driven by specialized, modern learning pathways.

We are seeking a highly organized, versatile, and proactive Office Professional to manage the intersection of two vital initiatives: our district-wide gifted Probe Program.

Role Summary

The Office Professional provides comprehensive administrative, bookkeeping, and operational management for the Probe Program Director and the STEAM Academy Middle School Office Manager. This dual-purpose role coordinates staff and student databases, manages complex school accounts (including P-Cards, Capital, and activity funds), and builds robust communication pipelines between the programs, district schools, and private/parochial partners.

Additionally, this position assists with daily school climate support, including student supervision. Why You'll Succeed (Qualifications) Educationally Prepared: High school diploma or its equivalent required. Tested Skills: Must successfully pass the district's required professional skills test. Experienced Operator: Minimum of three (3) years of successful secretarial/administrative experience preferred, with thorough knowledge of modern, computerized office procedures.

Financial & Data Sharpness: Proven bookkeeping experience with the ability to manage multiple activity budgets, process purchase orders, oversee P-Cards, and handle accurate counting, banking, and depositing of funds. The Rapport Builder: Exceptional human relations skills with excellent grammar, spelling, proofreading, and oral/written communication capabilities.

High-Stress Resilience: Demonstrated leadership ability to independently plan, organize, and execute highly detailed tasks accurately within a fast-paced, high-activity environment. Discretion Safeguard: Absolute ability to handle, maintain, and protect highly confidential and sensitive student and personnel records with total discretion.

Your Impact (Key Duties)

  1. Office Management & Communications Frontline Workflow: Assist with general inquiries, phone traffic, and daily visitor flow in the main office, projecting a warm, solutions-oriented attitude. District Communication Pipeline: Maintain open, clear lines of communication between the Probe program, the broader district, and local parochial schools. Publications & Bulletins: Prepare daily bulletins, student handbooks, parent newsletters, and upcoming building calendar milestones for the district Communications Department. Meeting Collaboration: Attend faculty meetings to record, type, and distribute official minutes to the building staff.
  2. Financial & Resource Stewardship Credit & Budget Oversight: Manage and audit monthly P-Card purchases and complete rigorous end-of-month financial documentation. Capital & Supply Logistics: Coordinate purchases from the Capital budget for submission to the Plant Department, manage general work orders, and maintain targeted supply ordering for the Probe Program. Bookkeeping Excellence: Handle petty cash, process reimbursement forms, count incoming activity monies, and maintain accounts for student recognition and individual departments.
  3. Systems, Records & Data Governance Student Data Management: Maintain and update student information systems (SIS) continuously; compile accurate state, accident, liability, and loss reports. Personnel Infrastructure: Create the building staff directory, set up internal personnel files, and track daily staff attendance and time cards. Safety & Discipline Tracking: Maintain the long-term suspension database, route incoming letters to grade-level teams, and provide daily suspension metrics directly to the Principal.
  4. Milestone & Seasonal Operations Registration Coordination: Prepare materials and organize annual student registration packets, print report cards, draft student awards, and coordinate bus routes directly with the Transportation Department. Contract Milestones: Build and distribute highly detailed staff packets for Orientation Week (O-Week) as well as year-end checkout sheets.
  5. School Climate & Student Support Nurturing Supervision: Support campus safety by supervising student arrivals, departures, cafeteria periods, and playground recess blocks as assigned. Your Leadership Partners Primary Support: Probe Program Director & STEAM Academy Middle School Office Manager Collaborative Team: Building Principal, Classroom Teachers, Plant Department, and the Central Communications Team The Logistics of Your Success Classification: Support Staff | 12-Month Year-Round Position . Physical Readiness: Must be regularly comfortable sitting, talking, and typing for extended windows. Frequently required to walk, use fine motor skills, and utilize close/color vision. Must be capable of occasionally lifting up to 50 lbs. to manage heavy files and paper shipments.
