Sales Operations Associate
Job description
We are looking for an organized, detail-driven Sales Operations Executive to keep our sales engine running smoothly. You will be the connective tissue between Sales, Finance, Engineering, Marketing, HR, and Leadership, owning CRM quality, reporting, sales coordination, and accounts receivable follow-up. This is an operational role, not a quota-carrying sales role.
Key Responsibilities
Sales coordination
- Coordinate between Sales, Finance, Engineering, Marketing, and HR to move deals and onboarding forward.
- Support the sales team with scheduling, proposal and contract logistics, document tracking, and internal follow-ups.
- Maintain trackers and process documentation for discovery calls, proposals, and handoffs. CRM management and data hygiene
- Ensure accounts, contacts, opportunities, stages, and close dates are accurate and updated.
- Audit the Project Management platform and CRM regularly for missing fields, stale deals, and duplicates, and follow up with owners.
- Maintain CRM/PM platform workflows, fields, and views as the process evolves. Reporting and visibility
- Prepare weekly and monthly pipeline, forecast, and activity reports for leadership.
- Support Weekly and Monthly Business Reviews with clean, reliable data and dashboards.
- Track team targets such as logos, proposals, and pipeline coverage, and flag risks early. Invoicing and accounts receivable
- Coordinate with Finance on invoices raised to clients and verify accuracy against contracts and SOWs.
- Run a disciplined follow-up cadence on outstanding receivables with clients and account owners.
- Maintain an AR tracker with aging, promised payment dates, and escalations. Process and operations
- Document and improve sales processes, templates, and checklists.
- Support onboarding of new sales team members with tools, access, and process training.
- Assist with administration of sales tools (CRM, outreach, calendar, and reporting tools).
Requirements
- Bachelor's degree (minimum).
- Relevant experience in sales operations, sales coordination, business operations, or a similar cross-functional role. Industry is flexible, and experience from any industry is welcome.
- Preferred: more than 1-2 year of full-time experience. A strong candidate with around 6 months of experience plus 6 months of relevant internships may also be considered.
- Good written and verbal communication.
- High attention to detail, ownership, and the ability to manage multiple stakeholders.
Nice to Have
- Experience with reporting or BI tools.
- Exposure to international clients and US time zone coordination. What Success Looks Like in the First 90 Days
- CRM data is clean, and pipeline reports are trusted by leadership.
- Weekly reporting is delivered on time without chasing.
- AR follow-ups run on a defined cadence with a clear aging view.
