Insurance Policy Administrator

Parkhurst, Johannesburg, Gauteng, South AfricaPermanentPosted Sep 10, 2026

Job description

A well-established, boutique, family-run financial planning and insurance firm is seeking a highly organised, systematic, and detail-oriented Policy Administrator to provide comprehensive support to their team of Junior and Senior Financial Advisors. This is a permanent, full-time role based in office with some flexibility.

Working hours are 07:30 to 16:30 with a 1 hour lunch break. In this role, you will be the operational core keeping their clients' Short-Term and Long-Term Insurance Portfolios pristine and up to date. Their vision is to be the best private insurance brokerage in South Africa—attracting high-quality clients, building a sustainable business, and fiercely championing their clients' rights.

They are a close-knit, collaborative team that truly cares for one another just as they care for their clients. They value honesty, accountability, and a genuine growth mindset, always looking for ways to adapt and improve. You will work closely with advisors, other administrators, and reception to deliver flawless client service.

Their client base predominantly consists of entrepreneurs within the restaurant, manufacturing, property management, and factory sectors.

Responsibilities

Handle the full end-to-end policy administration lifecycle—including acceptances, amendments, and cancellations. Manage day-to-day administration across a wide variety of financial products: Personal & Commercial Short-Term Insurance, Health Insurance, GAP Cover, Life Insurance, Investments (Flexible, Retirement, Tax-Free, Endowments), and Wills.

Act as the core administrative liaison with major industry insurers, navigating their backend systems frequently (particularly Santam and Momentum, as well as Discovery and Old Mutual Insure). Maintain flawless record-keeping, database tracking, and client documentation. Accurately and simply present policy information directly to clients when required.

Requirements

Matric required. An RE5 certificate or additional industry-specific certifications are highly advantageous but optional. Experience: Preferably a minimum of 2 years' dedicated experience in a Portfolio Administration role, with a proven track record in administering short-term, long-term, health insurance, and investment products.

System Knowledge: Hands-on technical proficiency with insurer portals is essential—specifically Santam (Policy Centre), Momentum (VIA), Discovery (Advice 360), and Old Mutual Insure (MyOMInsure) systems for policy viewing and administration. Software: Highly proficient across the Microsoft Office Suite (Outlook, Word, Excel, Teams).

Key Attributes: Excellent written and verbal communication skills, high attention to detail, a team-oriented mindset, and a warm, compassionate, and helpful personality.

Benefits

They operate from a beautiful, modern office space designed for both collaboration and deep focus, featuring open-plan workspaces, dedicated deep-work rooms, a boardroom, and private meeting rooms. True to their family values, they enjoy a catered team lunch together most days. They believe in fostering internal talent.

For an ambitious administrator, this role offers clear long-term career growth paths within the organisation, including a direct progression pathway toward becoming a Junior Financial Advisor.
