General Objective The Projects Coordinator supports the Projects Manager in planning, coordination, implementation, monitoring, and reporting of projects in alignment with arcenciel's strategic objectives and donor requirements. Reporting to the Projects Manager, the role contributes to the effective delivery of project activities within agreed timelines, budgets, and quality standards while ensuring coordination between project teams, internal operational units/departments and external stakeholders, and maintaining strong reporting and compliance mechanisms to achieve sustainable project outcomes.

General Tasks

  1. Project Planning and Implementation Plan, organize, and oversee project activities in accordance with grant agreements, donor requirements, approved work plans, and arcenciel's strategic priorities. Ensure the timely and effective implementation of project activities while maintaining quality standards and achieving expected outcomes. Monitor project progress, deliverables, indicators, timelines, and expenditures and report progress, challenges, and recommendations. Identify operational challenges, risks, and bottlenecks, propose corrective measures, and escalate critical issues when necessary. Coordinate project interventions across different units/departments and resolve cross-functional challenges affecting implementation. Conduct regular field visits to monitor activities, assess impact, provide technical support, and ensure adherence to project objectives. Ensure the efficient utilization of financial and material resources throughout project implementation. Follow up continuously on project development and recommend adjustments to maximize effectiveness and impact. Ensure compliance with internal procedures, donor regulations, and reporting requirements. Prepare draft monthly, quarterly, annual, and ad hoc narrative reports for review prior to submission.
  2. Team Coordination and Support Coordinate the day-to-day work of project staff involved in the implementation of activities. Allocate day-to-day tasks, monitor workloads, and follow up on the timely completion of assigned activities in coordination with the Project Manager. Monitor daily operations and provide guidance to ensure quality performance and achievement of objectives. Organize regular coordination meetings to review progress, address challenges, and strengthen collaboration. Promote a positive working environment that encourages teamwork, communication, and continuous improvement.
  3. Internal Coordination and Administrative Follow-Up Coordinate closely with the Grants and Partnership department regarding donor requirements. Collaborate with the Quality and Compliance unit to monitor project performance, ensure timely reporting, and address compliance-related requirements. Collaborate with the Finance Department to support budget monitoring, financial documentation, and compliance with financial procedures. Maintain complete, organized, and up-to-date project records and documentation. Ensure proper administrative follow-up related to procurement, logistics, and operational requirements necessary for project implementation. Support internal audits and external audits and provide all required project information and documentation when requested.
  4. External Coordination and Representation Establish and maintain effective working relationships with partners, local authorities, municipalities, donors, NGOs, and other stakeholders. Coordinate and follow up with partners, contractors, consultants, and working groups involved in project implementation to ensure alignment and collaboration. Represent arcenciel in meetings, coordination forums, and relevant events when delegated by management. Contribute to strengthening partnerships and promoting arcenciel's image and mission among external stakeholders. Facilitate communication and information sharing between stakeholders to ensure smooth project implementation. Document key discussions, action points, and commitments arising from coordination meetings, and ensure appropriate follow-up. Work Conditions Job Constraints: Frequent mobility within the centers of arcenciel as well as field of activities Workplace: Jisr El Wati Working hours: Monday till Friday; from 09:00 AM till 05:00 PM Type of contract: 1 year contract renewable depending on funds and performance. Probation period: 3 months Requirements Skills Set and Competencies Project planning, monitoring, and evaluation. Budget monitoring and resource management. Report writing and donor compliance. Risk identification and problem-solving. Knowledge of project cycle management methodologies. Proficiency in Microsoft Office applications. Ability to analyze data and prepare performance reports. Familiarity with NGO procedures and donor regulations Leadership and team management. Strong organizational and planning skills. Excellent communication and interpersonal skills. Level of education and experience Bachelor’s Degree or equivalent (Master’s Degree is a plus), major in Project Management, Social Sciences, Business Administration, Development Studies, Public Administration, or any related field. 3-5 years of experience in NGO Projects Activities.
