Assistant Administrative Officer
Job description
Royal Institute comprises of 5 schools (under the banner of Royal Institute International School) and a higher education arm (Royal Institute Campus). Royal Institute has maintained a tradition of providing quality education to students for 50 years. The Assistant Administration Officer is responsible for supporting the effective and efficient day-to-day administrative operations of Royal Institute.
The role involves coordinating administrative activities, maintaining accurate records, supporting staff and departments, and ensuring that administrative requirements are handled in a timely and professional manner.
Key Responsibilities
Record the daily list of absent teachers before 7:30 a.m. and submit it, together with the relevant relief work, to the Principal and Vice Principal to facilitate the arrangement of relief teachers. Collect and organize relief work for teachers who are on planned leave. Type and format class timetables at the beginning of each academic year,format the Annual Prize Winners List, cross-checking students’ names against the database to ensure accuracy.
Type and prepare students’ Leaving Certificates, official documents in Sinhala and English. Handle petty cash and prepare the relevant documentation for reimbursement at the end of each month. Coordinate school transportation matters. Photocopy worksheets, unit tests, and other documents when the Photocopying Officer is assigned to examination duties, including the photocopying of term-test papers at the Central Office.
Place monthly orders for tea and related requirements with the Procurement Department. Perform other administrative and clerical duties as assigned.
Requirements
Diploma or Bachelor's Degree in Business Administration, Management, Human Resources, or a related field. Previous experience in an administrative role, preferably within an educational institution or similar organisation. Minimum 1–2 years of relevant experience would be an advantage. Good working knowledge of MS Office applications, particularly Word and Excel.
Good written and verbal communication skills in English. Ability to communicate effectively with staff, students, visitors, and external parties. Strong organisational and time-management skills. Ability to work independently as well as part of a team.
