About The Job

We are seeking a highly experienced and proactive Executive Assistant (EA) to support the Chief Operating Officer (COO). This role requires a calm, detail-oriented professional who can operate with discretion, anticipate needs, and manage complex priorities in a fast-paced, global environment. The EA will act as a trusted partner to the COO, ensuring seamless day-to-day operations and effective coordination with internal and external stakeholders.

A Typical Day Will Include

Executive & Administrative Support

  • Provide high-level administrative support to the COO, including complex calendar management across multiple time zones.
  • Act as the primary point of contact for the COO, screening and prioritizing communications.
  • Prepare, review, and format correspondence, reports, presentations, and briefing materials with a high level of accuracy and professionalism.
  • Manage confidential information with the utmost discretion.

Calendar, Travel & Logistics

  • Coordinate comprehensive travel arrangements, including flights, accommodation, visas, transfers, and detailed itineraries.
  • Support visiting executives and partners with travel and meeting logistics.
  • Manage expense reports, budget tracking, and reconciliation in line with company policies.

Meetings & Governance

  • Coordinate internal and external meetings, including Executive Committee meetings.
  • Prepare agendas, meeting materials, presentations, and take minutes where required.
  • Ensure timely distribution and follow-up of action items.

Operational & Office Support

  • Maintain organized filing systems, databases, trackers, and documentation.
  • Provide general office support, including ordering stationery and maintaining a professional office environment.
