Job Overview: To support the efficient day-to-day administration and organisation of the Academy Medical Department, ensuring effective management of medical logistics, scheduling, coordination of medical activities, and accurate maintenance of medical records in order to support the delivery of high-quality medical services to academy athletes.

Job Responsibilities

Medical Equipment and Supplies Support Assist in the organisation, storage, and tracking of medical supplies, ensuring appropriate stock levels are maintained. Support regular checks of medical equipment to ensure it is clean, functional, and ready for use. Coordinate with the medical team to identify supply needs and support ordering processes.

Maintain accurate records of inventory, deliveries, and usage of medical materials, and support cost tracking where required. Medical Appointments and Coordination Schedule and coordinate medical appointments for Academy players, including screenings, scans, and specialist consultations. Support communication with hospitals, clinics, and external healthcare providers as required.

Track medical reports, results, and documentation, ensuring they are recorded and shared with the relevant medical staff. Ensure all player medical appointments are organised efficiently and followed up where necessary. Training, Match and Camp Preparation Assist in the preparation and organisation of medical equipment and supplies for training sessions, matches, and tournaments.

Support the setup of medical areas for Academy activities, ensuring a professional and well-organised environment. Administration and Compliance Maintain accurate and confidential medical records in line with Club policies and data protection requirements. Support compliance with medical regulations, including monitoring expiration dates of supplies and documentation standards.

Coordination and Communication Coordinate and support the medical operations of the Academy residency programme, ensuring all clinic protocols, player records, and healthcare procedures are delivered efficiently and in compliance with Club and safeguarding requirements Act as a coordination point between medical staff, coaches, operations staff, and players for administrative matters.

Support communication with the procurement department regarding medical supply requirements. Contribute to the continuous improvement of clinic processes and administrative systems. Other Ensure all continuous professional development and training courses are up to date and the minimum professional standards of the department are met.

Further duties at the discretion of the line manager or Technical Director Requirements Qualifications, Skills and Experience Degree or certification in healthcare administration, medical logistics, nursing, or a related field, or equivalent practical experience Experience in a medical administration role, preferably within sports or a high-performance environment Previous experience as a nurse within a medical institution Effective communication skills with the ability to liaise across departments and with external service providers Strong organizational and multitasking skills with excellent attention to detail Ability to manage, maintain, and ensure accuracy of medical records and documentation Experience supporting medical supply management, logistics, or coordination of medical resources Knowledge of medical equipment maintenance and supply chain management Proficiency in inventory management systems and relevant software tools Previous experience working in Saudi Arabia or the Middle East Multilingual capability, with English (required), Arabic, and Spanish considered an advantage Benefits Why Join Al-Qadsiah?
