Employee Support Assistant (Trilingual EN/PT/ES) (recruiting from Malta and abroad)

We are looking for a service-oriented Trilingual (EN/PT/ES) Employee Support Assistant to act as the primary point of contact for our global workforce. This role is vital in ensuring that English, Portuguese, and Spanish-speaking employees receive timely, accurate, and empathetic support regarding their employment lifecycle.

You will bridge the gap between the employees and internal operations, ensuring a high-quality employee experience.

Key Responsibilities

Serve as the first point of contact for employee inquiries related to payroll, benefits, leave management, and company policies in English, Portuguese, and Spanish. Onboarding & Offboarding: Support the administrative journey for new hires and departing staff, ensuring all documentation and system updates are completed accurately in the required language.

HRIS Maintenance: Update and maintain employee records within the Human Resources Information System (HRIS), ensuring data integrity and GDPR compliance. Documentation & Translation: Localize internal announcements, policy handbooks, and FAQs to ensure clear communication across different linguistic regions. Issue Resolution: Liaise with the Payroll and Operations departments to resolve complex employee discrepancies and provide status updates to the staff involved.

Requirements

Native or professional fluency (B2 minimum) in English, Portuguese, and Spanish is essential for both written and verbal communication. Service/Administration: Previous experience in a related field in an administrative/service-oriented environment is highly preferred. Discretion & Ethics: Proven ability to handle sensitive and confidential employee data with the utmost integrity.

Communication: Strong interpersonal skills with a "people-first" mindset and the ability to explain complex policies simply. Technical Literacy: Proficiency in IT and AI tools is highly valued.
